How we handle personal data, the terms that govern this website, and our security posture on client engagements. Last updated 6 May 2026.

Privacy notice

Ekonbee B.V. ("Ekonbee", "we") operates ekonbee.com from the Netherlands. We are the data controller for personal data collected through this website. You can reach our team at contact@ekonbee.com.

What we collect

  • What you give us. Name, work email, company and any message you submit through the contact form or the assistant chat. We use this only to reply to you.
  • Technical data. Server logs (IP address, user agent, requested URL, timestamp) kept for up to 30 days for security and abuse prevention.
  • Cookies. Strictly-necessary cookies only by default — for theme preference and session continuity. We do not run third-party advertising or cross-site tracking. See Cookie settings.

How we use it

We process the data above to respond to enquiries, deliver services you have engaged us for, secure the site, and meet our legal obligations. We do not sell or rent personal data, and we do not use it for automated decision-making.

Where it lives

Site infrastructure runs in the EU. The assistant chat sends prompts to a model provider under a data-processing agreement; chat content is not used to train third-party models and is retained only as long as needed to operate the service.

Your rights (GDPR)

If you are in the EEA or UK, you have the right to access, correct, delete, restrict or port your personal data, and to object to processing. Email contact@ekonbee.com and we will respond within 30 days. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Retention

Enquiry emails are kept for up to 24 months. Engagement records are kept for the duration of the contract plus the period required by Dutch tax and commercial law (typically 7 years).

Website terms

The content of ekonbee.com is provided for general information about Ekonbee's services. It is not legal, tax or implementation advice and creates no engagement between you and Ekonbee. Engagements are governed by a separately signed Master Services Agreement and Statement of Work.

We make no warranty that the site will be uninterrupted or error-free. To the extent permitted by Dutch law, Ekonbee's liability for use of this site is limited to direct damages and capped at €500.

Security

On client engagements we operate under written confidentiality and data-processing terms. Our standard posture includes:

  • Least-privilege access to client SAP systems, granted through the client's own identity provider.
  • Engagement data kept in EU regions where the contract requires data residency.
  • Disk and transit encryption (AES-256 at rest, TLS 1.2+ in transit) on all systems Ekonbee controls.
  • Annual penetration tests on internal tooling; quarterly access reviews.
  • Sub-processors disclosed in the engagement DPA before any personal data is shared.

To report a vulnerability, email security@ekonbee.com. We acknowledge reports within two business days.

Changes

We may update this page. Material changes will be reflected in the "Last updated" date and, where the change affects how we process personal data, we will notify enquirers we have an active conversation with.
